As our Receptionist/Administration Assistant, you'll be an essential part of our operations, working closely with our finance and insurance team, and acting as the welcoming face of our company. We’re seeking someone who excels in problem-solving, handles sensitive information with professionalism, and enjoys the challenge of a fast-moving workplace.

Responsibilities

  • Answer and direct incoming telephone calls, providing comprehensive company information.
  • Welcome visitors, determine their needs, and connect them with the appropriate personnel.
  • Manage the Vie Launceston email, triaging enquiries, and ensuring they reach the right department or are handled promptly.
  • Schedule and coordinate meetings and appointments, ensuring all preparations are in place.
  • Assist our Property Finance Team with post-approval processes, including:
    • Liaising with clients, lenders, conveyancers/solicitors, and other involved parties.
    • Preparing and directing documents.
    • Creating and maintaining in-house systems and utilising third-party software.
  • Maintain office equipment and manage office supplies.
  • Oversee document control for office documents and templates.
  • Collaborate with the marketing department to create marketing materials.
  • Provide administrative support to the finance and insurance team as needed.
  • Drive continuous improvement in all areas of our business.

Skills & Experience

  • Completion of Year 12 or a Certificate III (or higher) in Business Administration or a related field, or equivalent experience.
  • Valid driver's licence.
  • 2+ years of administrative experience.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Fast and accurate typing skills, with experience in data entry, composing emails, and creating documents.
  • Excellent verbal and written communication skills.
  • Strong organisational skills and attention to detail.
  • Ability to work independently and as part of a team.
